EXhibitor TERMS AND CONDITIONS

• Every exhibitor must hold current Public Liability Insurance (PLI) with a minimum cover of $20 million, valid for the dates of each event you attend.
• “Fat Apple Event Co Pty Ltd trading as Meatstock” must be listed as an Interested Party on your Certificate of Currency. This is mandatory for all expo sites.
• Exhibitors must hold adequate WorkCover or equivalent insurance for anyone working under their management.
• Meatstock accepts no responsibility for any injury, loss or compensation claim involving staff or volunteers working for an exhibitor at the event.

  FOOD SAFETY, SALES AND SAMPLING

• If you are selling or sampling food for human consumption (fresh or pre-packaged), you must apply for the relevant food permit no later than 30 days before the event:
  
  • Gippsland – FoodTrader Victoria: https://foodtrader.vic.gov.au/
  • Toowoomba – Toowoomba Regional Council. Details will be provided once your site is confirmed.
• At least one staff member holding a current Food Safety Supervisor (FSS) certificate must be on site at all times. They must approve all food preparation before any sampling or service to the public.
• Only authorised food vendors may sell food, and commissions apply. Expo sites may offer bite-sized samples for tasting only.

  KNIVES AND BLADED ITEMS FOR SALE

• Legal requirements

  • Knives must not be sold to anyone under 18. Ask for photo ID from any customer who appears to be under 25.
  • Display age-restriction signage at your stall. In Victoria, the sign must read: “It is an offence to sell a knife to a person under the age of 18. Proof of age may be required.”
  • Do not advertise or promote any knife or bladed item as being suitable for combat.
  • Gippsland (VIC): prohibited weapons, including machetes, swords, daggers, flick knives, butterfly knives, push knives and double-ended knives, must not be displayed or sold.
  • Toowoomba (QLD): double-edged knives, knives with blades at both ends, axes, tomahawks, machetes, sickles, scythes, swords and spears must be securely stored before sale.

  BUMP IN & BUMP OUT

• Vehicles may only move on site during the bump-in and bump-out times above. There is strictly no vehicle access while the public is on site, and no vehicle may enter until the Festival Site Manager gives approval.
• All vehicles entering the site must be registered and insured.
• All staff must wear a hi-vis safety vest and closed-toe shoes during bump in and bump out. Anyone in thongs, sandals, Crocs or other open-toe footwear will be refused entry.
• No children under 16 are permitted on site during bump in or bump out.
• No digging, drilling, peg driving or other ground penetration without approval from both Meatstock and venue staff. Underground services are present, and unapproved ground penetration risks electrocution or death.
• Exhibitors must remove all of their own rubbish by 12:00pm Monday, or a $300 cleaning fee will be charged.
• Sites must be left in the condition they were found. Any repairs required will be charged to the exhibitor.
• Exhibitors agree to follow directions from Meatstock management on any matter not covered by these terms and conditions.

  EXHIBITOR CANCELLATION POLICY

• All cancellation requests must be emailed to steve@meatstock.com.au
• Cancellations received at least 4 weeks before the event opening date are eligible for a refund.
• Cancellations received less than 4 weeks before the event opening date are not eligible for a refund, and the full invoice amount remains payable.
• If Meatstock cancels the event due to circumstances beyond our control (including but not limited to acts of God, fire, flood, natural disaster, pandemic, terrorism, war, a council or government order, or cancellation by the venue), exhibitors will be eligible for a refund of fees paid for the booked site(s), up to the amount already paid. You must follow the refund instructions emailed to you within 14 days. Refunds are not issued automatically.
• Meatstock will not compensate any loss of trade, expired stock, wages or other indirect costs.

  OTHER CONDITIONS

• All staff must complete a Site Safety Induction before entering the venue. This will be sent with your bump-in pack before the event.
• All electrical appliances and leads must be tested and tagged, with current compliance tags.
• All marquees and temporary structures must have a wind rating certificate, be structurally sound and be weighted to meet local requirements.
• No hazardous or dangerous materials may be brought into the event footprint without prior approval from Meatstock and the venue.
• By exhibiting, you agree that Meatstock may photograph and film your stall and staff during the event and use that content in Meatstock marketing and promotion, without compensation or fees.
• Forklift assistance is available for a small fee and must be booked on your application form once your site is confirmed. Forklifts will not be available on site without a prior booking.
