Bump In - Bump Out & TRADING TIMES

  BUMP IN TIMES WILL BE CONFIRMED IN YOUR INDUCTION PACK APPROX 2-4 WEEKS BEFORE EACH EVENT.

  Below is a general guide…

  BUMP IN – ALL EVENTS

  • Thursday – 8:00am to 6:00pm
  • Friday – 8:00am to 12:00pm
  • Gates open for expo trade on Friday at 12:00pm. All vehicles must be off site by 11:00am sharp.
  • Saturday – 7:00am to 9.30am (for restocking of goods).
  • Gates open for expo trade on Saturday at 10:00am. All vehicles must be off site by 9:00am sharp.
 

  BUMP OUT – ALL EVENTS

  • Sunday – 8:00am to 3:00pm
  • Expo sites may commence pack down of their site from 6:00pm Saturday (and not before – unless advised by Meatstock Crew).
  • Exhibitors may bump out on Saturday when the festival is closed and clear of ticket holders. 
  • There will be no vehicle access to the site until Meatstock Staff have given clearance to do so.
  • The site is to be left as you found it. Cleaned and free of rubbish – exhibitors must take all rubbish with them.
  

STRICTLY NO VEHICLE ACCESS UNTIL THE SITE IS CLEAR OF PUBLIC AND APPROVAL IS GIVEN BY THE FESTIVAL SITE MANAGER.

  • Friday – 12:00pm to 7:00pm
  • Note: Expo sites may begin pack down of their site from approx 6:00pm when the indoor awards presentations begin. 
  • Saturday – 10:00am to 7:00pm

Terms and Conditions

Meatstock reserves the right to ask any exhibitor to cease trade/exhibition in the event of non-compliance with the venues guidelines and or terms and conditions listed below.

INSURANCE

  • Every exhibitor and stall holder MUST have Public Liability Insurance (PLI). This must be current for the dates of the festivals you’re attending and valued at $20M (AUS) or $2M (NZ).
  • FAT APPLE EVENT CO PTY LTD Trading as MEATSTOCK – must be listed as an Interested Party on your Certificate of Currency. This is MANDATORY for all expo sites.
  • Exhibitors are responsible for and must have adequate WorkCover or Insurances for any person(s) under their management. 
  • Meatstock takes no responsibility for any persons employed either for remuneration or in a voluntary capacity for any work, compensation, injury or loss incurred as a result of attending and or working at Meatstock.
  • In the event of cancellation for any reason of the event, Meatstock will endeavour to duly compensate affected exhibitors/stallholders where deemed appropriate to a maximum of the fees already paid or to a maximum of the cost of fees for the booked site(s) only. 
  • No loss of trade or expired stock, wages or subsidiary costs will be compensated.
 

FOOD SAFETY, SALES AND SAMPLING

  • If you are selling food for human consumption (be it fresh or pre-packaged), you will be required to complete a Food Safety Application to the relevant council. Details of each council regulation and procedure will be shared with you upon site confirmation.
  • A Food Safety Supervisor certificate is required. At least one staff member must have this certificate and be on-site at all times. They will be required to sign off on any preparation or service of food before sampling or service to the public can take place. 
  • In Victoria, you will also require approval from Foodtrader (formerly Streetrader) to comply with Food Safety Guidelines.
  • Vendors may not sell food without prior arrangement as an authorised food vendor. Commissions apply to food vendors. Bite sized samples are acceptable for tasting purposes.
 

KNIVES (PLEASE NOTE: NEW RULES ARE IN PLACE FROM 2024)

  • In accordance with new legislation (Jacks Law), knives may only be sold to customers 18 years of age or older. More detail can be obtained here – https://www.nsw.gov.au/media-releases/nsw-introduces-laws-to-get-knives-off-street-and-boost-community-safety 
  • Knives available for sale or display must not be accessible by the public.
  • Knives displayed on the front counter must be in a secure, lockable display box or cabinet.
  • Magnetic displays are acceptable provided they are out of reach to customers.
  • Customers may hold or handle knives, provided they are one on one monitored whilst doing so.
  • Knives sold must be contained in a sealed box or other sealed packaging with instructions that the customer is not to open the packaging whilst on site at the festival. Sealed stickers must be applied to the packaged product when sold.
  • Failure to comply with these regulations may result in the removal of the product for display.

BUMP IN & BUMP OUT

  • Bump In and Bump Out of stalls must be pre-arranged and comply with directions as set by Meatstock and the venue. No vehicle movements are permitted during the event operating hours. See above.
  • Vehicle movements are only permitted during specified Bump In and Bump Out times. All vehicles accessing the site must be registered and insured. All exhibitors/stall holders agree to follow instructions from Meatstock management on any matter not covered by any other terms and conditions wherever requested.
  • All staff MUST wear safety vests and closed toe shoes during Bump In and Bump Out.
  • Anyone attempting to access the site in thongs, sandals, jandals, crocs during Bump In or Bump Out, will not be allowed to enter the site.
  • No children under 16 years are allowed onsite for Bump In or Bump Out.
  • Absolutely no digging, drilling or ground penetration without approval.
  • Any digging, drilling or ground penetration must be signed off by venue staff.
  • Driving pegs or digging without approval risks electrocution or death.
  • All rubbish is the responsibility of the individual stall holder company and must be removed from site by no later than 12pm Monday or a $300 cleaning fee will be charged. 
  • All sites to be left as they were pre-event or repairs will be charged back to the individual stall holder.
 

EXHIBITOR CANCELLATION POLICY

  • Should it become necessary to cancel your participation at any Meatstock event, any request by an exhibitor must be received by email to steve@meatstock.com.au 
  • A request for cancellation (and refund if required) must be received at least 4 weeks prior to the event opening date.
  • Cancellations less than 4 weeks from the event date will not be entitled to a refund.
  • Exhibitors who cancel within 5 days of the event opening date, will still be held responsible for full payment of their invoice. 
  • If the event cannot take place, due to circumstances outside our control, including but not limited to, acts of God, fire, natural disaster, flood, council or government order, terrorism, war, global pandemic, COVID-19, or cancellation by the Venue then you will be entitled to a refund, provided you follow the emailed instructions within a 14 day period. Refunds will not be provided automatically.
 
WI-FI SERVICES
 
  • Each Meatstock venue offers limited free wi-fi service. However…
  • Wi-Fi performance drops with multiple users due to shared bandwidth, signal interference, and router limitations. As more devices connect, speeds slow down, and congestion increases. 
  • Bringing your own device ensures better compatibility, personalised settings, and optimal performance, as each device interacts differently with the network’s capacity and traffic.
  • Please do not rely on the venue wi-fi performance for your EFTPOS facilities.
 

OTHER CONDITIONS

  • All staff must participate in a Site Safety Induction before entering the venue/s.
  • All electrical appliances or cords must be tagged & tested and compliance in date.
  • All Marquees and temporary structures must be structurally sound and be appropriately weighted to meet local guidelines.
  • No hazardous or dangerous materials are to be brought into the Meatstock Event Footprint without prior consent and authorisation of Meatstock in conjunction with the appropriate venue.
  • All exhibitors acknowledge and allow Meatstock to take general photography, videography of stalls and traders during the event and use images and footage captured in Meatstock related marketing and promotions at the discretion of Meatstock and that no compensation or fees will be paid to exhibitors/stall holders for the use of captured images and/or footage.
  • If you require a forklift onsite, there will be a small fee involved. This service can be booked on your application form, when you are confirmed to trade at the event. If you do not request this service in advance, there will be no access to forklifts for you when onsite.
